Getting to know the Application

The Chauffeur Manager application is designed to make running your business easier. Here is an explanation of the basics of the application, to help you find your way around.

The Top Menu

Firstly, it's important understand the top menu links of the application. These links go to each of the main pages of the application.



These are the main pages and where they lead to:


  • Home:
    The Work Diary page that gives you an overview of your work for today and tomorrow.

  • Bookings:
    The Pending Bookings that the client has requested but you have not yet accepted, and All Bookings that have been made.

  • Clients List:
    The list of all your Clients, the bookings they've made, and the jobs you've done for them.

  • Reports:

  • My Account:
    The page where you can view and edit all of your account details, including a list of all users, options to upload your logo, the list of drivers and flights (which can be edited) and more.

Now each of these pages will be explained in more detail.

"Home"

When you first log in, this is the page that you will see. This is an overall summary of what's happening today and tomorrow; your Work Diary.


On this page you can see that today you have 3 jobs, and tomorrow you have one. Each job has a Reference number in the left column, which you can click to view the details of the job, and add drivers for the job. The customer's name, job time and driver also appear in these tables. In the right column there is the Status of the job, which you can click to edit the job to either 'Done', 'Not Done' or 'Cancelled'.


Jobs only appear in these two tables when they have been added from the Add Booking page, which you can read by clicking the link in the right hand menu under Related Links.


On the right hand side there are also options to Search Bookings (where you can search for a booking to view or edit it), and Related Links which take you to related pages, such as 'Add Booking' or 'Add Client'.

"Bookings"

The bookings page shows you all Pending Bookings that the client has requested from you, and All Bookings that have been made or completed in for past, present, or future.




Pending bookings will always be marked in red, because these bookings require your attention. These are bookings that the client has requested, but that you haven't accepted as a job yet. A red flag next to a booking reference means that this booking has been edited by another user. In the right hand column there is the option to View, Edit or Cancel the booking. By clicking Cancel, this rejects and deletes the booking.




By clicking on View All Bookings in the Related Links menu, you can view all bookings made. These bookings aren't marked in red because they are all the bookings made, not the ones that need your attention.


You can also add a booking from these pages by clicking Add Booking on the right hand menu under Related links.

"Clients List"

This page shows you a list of all your clients, and what jobs you have done for them.




You can click on No. of all bookings link to view all the bookings made for and by this client. You can click No. of all jobs heading to view all the jobs you have done and future jobs for this client.


You can add a new client by clicking Add Client under the Related Links menu on the right. Any new client that you add will automatically be added to the Clients List page.


"My Account"

This page is where you can view and edit all of your account details.




This is the list of all the users for this account. You can click on the email addresses of the users to email them. You can also add a new user to this list by clicking Add a new user on the Users panel.




If you scroll further down the page you'll see that there's a button that you can click to Upload your Logo which will appear on your PDF invoices for clients.


The page then shows a list of your Drivers, which you can add to by clicking Add on the Drivers panel.


The next panel is the Flight Numbers panel. Each flight number also has a time, which means when you're making a booking you can choose a flight number, and the system will automatically add the time for you. You can add a new flight number by clicking Add on the Flight Numbers panel.




Scrolling down the page further takes you to a few panels determining costs. Here you can decide how much to charge for the first number of miles. You can overwrite both the cost and the number of miles by clicking Overwrite on this panel.


On the panel underneath you can choose how much to charge for the miles after the determined number of miles, for example "£1.35 for every mile after 27 miles". This also can be changed by clicking the Overwrite link on the panel.
