
Chauffeur Manager has lots of different and useful features all of which have been specifically designed with the transport industry in mind. Here is what you can expect from the application:
Home
This is the first page that you will see as soon as you log onto Chauffeur
Manager and here you can see instantly what jobs are booked in for
that particular day and the day after. There is also a handy calendar
on the home page to help you plan further bookings.
Bookings
Here you will find details of pending bookings. All of which will
be highlighted in red as these are bookings that have been requested
by one of your clients but have not yet been confirmed as an actual
job by you or one of your team at that time. If there is a red coloured
flag next to any of the bookings it is because it has altered by a
user. In this section there is also the option to View, Edit or Cancel
a booking that has already been made.
Clients List
Here you will find a list of all your clients and the details of every job you have done for them. By clicking onto No. of all bookings you can see every job which has been made both by and from the client, similarly clicking onto No. of all jobs you can see every single job you have done for any client and also all booked jobs that are in the future. If you want to add a new client simply click on Add Client and go ahead and enter the details.
My Account
This is the place that all the information on the various users for any account is held. If you want to add a new user simply click on Add New User and enter the details and save them. If you wish to email a user click onto their email address and start typing your message.
Drivers
Here you can see all the drivers that you have and add new ones when needed.
Flight numbers
This section allows users to choose a flight number and the application will add the time it is due to arrive so that you do not have to spend time finding out this information elsewhere.
Lock bookings
They can't be edited after a certain time before the job is due to start. This means that any jobs that are due in the next 1-24 hours can't be accidentally deleted by anyone thus offering even further security for users. Only administration staff have the necessary authority to edit these so that nothing unexpected can happen to bookings.
Email Templates
These are another useful way of saving time as you can simply view all emails sent to any clients, to send a new one simply click into a template and change a few details such as the name of the client, the PNR number and the booking reference. Once you have written the email click on Save and the email will be saved under information for that particular client. Using such a system also means that you can easily check which emails have been sent to which clients in no time if you ever need to.
Creating invoices
Creating invoices couldn't be easier with Chauffeur Manager, begin by clicking onto the Clients list on the top of the menu then click onto View which is under the Statements section from here you can then choose two dates which you would like all jobs between to be invoiced for. For instance you can choose 1 January - 1 February to invoice for all jobs for any client that fall between these two dates. Once this has been done click on Go which will then add all the totals of the jobs together. Then all that is left to do is click Print and this invoice will be printed out in PDF format (you can also add your companies logo in onto all PDF documents to maintain your company image). This can then be sent out to clients by email or through the post, the choice is yours. If at any time a client wishes to see their outstanding balance they can log into their account, go into the Reports section and click into Financial Statement from there they can see all details of jobs they have been invoiced for and even print them out if they would like to.
Driver Payments
In order to make paying wages more streamlined Chauffeur Manager allows you to go into the Reports section, then Click onto Driver Payments and choose the driver you are going to be paying. Then choose two dates which you would like to use to make your payments, so if your driver needs to be paid for the month of August choose 1 August as the first date and 30 August as the second date and all the jobs that driver did between these dates will be shown so you can then go ahead and make the payment. This information can also be printed out as a PDF form which can be passed to the driver or kept as a paper copy in the office.
Assigning a job to a particular driver
Once again this could not be easier thanks to Chauffeur Manager, to give a driver a new job go into the Bookings menu, then look at the pending bookings as these will not have a driver assigned to them. Click onto the booking reference number and then look for the Linked Job and then Add Driver, you can also add details such as the vehicle the driver will be using and the payment information then click Save. You must note that if any journey is a return journey you need to add a driver for both journeys otherwise it will stay as pending until both journeys have been allocated drivers.
